Account and data deletion
How to ask for your MedCoord account or data to be deleted, what is deleted and what may be kept.

1. Who this page is for
This page applies to the MedCoord web application and to the MedCoord app for Android, both published by MEDCOORD. You do not need to sign in to make a request.
2. Coordinators and staff: deleting your account
Send an email to cosmina.palade@gmail.com from the address of your account, with the subject “Delete my MedCoord account”. We reply to that address to confirm that the request comes from you, and we complete it within 30 days.
If your account belongs to a clinic or a hospital, its administrator can also deactivate it at once from Settings, Users.
3. Patients: deleting your data or your portal access
Your file is managed by your care coordinator or clinic. Ask them to switch off your portal access or to delete your file: the owner of the file does this directly in MedCoord and the deletion takes effect immediately.
If you cannot reach them, write to cosmina.palade@gmail.com with your name and the name of your coordinator or clinic. We verify your identity with them before acting. Please do not send medical documents by email.
4. What is deleted
- The account: name, email address, role, sign-in codes and sessions.
- The patient files owned by the account, unless the organisation asks for them to be transferred to another of its coordinators: personal details, medical history, medication, measured values, alerts, summaries, uploaded documents and the text extracted from them, cached translations.
- Portal access, the conversation with the assistant, the links for physicians and the access log of the deleted files.
5. Deleting only part of the data
You do not have to delete everything. A coordinator can, at any time, delete a single document, event, medication, measurement or summary from a file, revoke a link for a physician or switch off the patient portal. You can ask for the same by email.
6. What may be kept, and for how long
- Backups made by our hosting providers are overwritten on their schedule, within the restore window of the hosting plan (at most 30 days). Data is not restored from them except to recover from an incident.
- Records we are required by law to keep, such as invoices and accounting documents, for the period set by law.
- Your request and our reply, for up to 3 years, as proof that it was handled.
- Medical records that a clinic or a hospital keeps in its own systems are not affected: MedCoord holds copies used for coordination, and keeping the originals for the legal period is the responsibility of that organisation.
